The live broadcast covering hsp’s October news was presented by Samuel Königshoven, who is the Customer Success Manager. He was in Hamburg to lead the second user workshop.

For the second time, hsp has invited Opti.Tax users from all over Germany to Hamburg. During the workshop, participants were shown new functions, as well as features that had been implemented based on feedback from the first workshop. Samuel also gauged the general sentiment regarding the upcoming changes so that this could be factored into the planning. The latter was presented by Sandra and Laura, whilst developer Fabian took diligent notes.

The Camunda integration went down particularly well. This had already been briefly demonstrated in a previous programme. Samuel reckons there may be a separate live broadcast on this topic over the coming weeks. The process chains, in particular, were well received. These can be selected and loaded via the „Organisation of processes“ tab (bottom left of the programme), „Processes for the described procedure“ (top left) in the central window, via the small arrow next to the green plus sign (top left of the window) and the „Import processes“ option.

No duplication of effort: sharing process chains

The hsp team develops these process chains in collaboration with law firms. The database can be expanded as required. During the workshop, participants asked how interested users could contribute to expanding the database with further process chains. One option is as follows: once a process chain has been created, a backup can be emailed to hsp. To create a backup, simply click on „File“ and then „Create backup“. Alternatively, users can open a ticket within the project via „Help“ > „Support“. Simply enter „New process chain for the database“ in the „Title and description“ field. A brief text can be provided to explain what type of process chain it is. Then, simply tick the box next to „Attach data backup“, and the whole thing will automatically be sent to the correct department. All data is anonymised upon entry into the database.

Another topic that occupied the participants’ attention was ChatGPT and artificial intelligence. Does hsp plan to integrate AI into the Opti.Tax software platform? The hsp team is currently in the phase of gathering ideas and running through scenarios. This is because integration requires careful, well-thought-out planning in advance. One of the critical issues is data protection. After all, the servers are located outside the EU. As soon as the AI service is required to process sensitive data, this data is sent halfway across the world to unknown locations with opaque data protection regulations. However, where sensitive data is not involved – for example, when creating a process chain – the use of AI technology is conceivable.

Don’t start from scratch with templates – save time

The next topic Samuel touches on is sample texts in the documentation. Anyone who finds it difficult to write introductory texts and the like themselves can make use of a template. To do this, go to „Help“, „Welcome“, „Load sample data“ to load a sample client. All the sample texts required are stored in the procedural documentation. However, the texts sometimes differ, which is why the team is considering adding an import function. This would make it easier to load different introductory texts.
